Position Summary:

Provides strategic direction for learning and education and is responsible for the overall strategy, management, and delivery of Epic-focused IT training services. Actively searches, creatively designs, and implements effective training methods to enhance performance and meet the training needs of the organization. Interacts closely with internal staff and external vendor partners to effectively balance multiple workstreams and develops detailed training project documentation to include requirements, project plans, project schedules, risk mitigation plans, and project status reports/communications. Preserves consistency in the delivery and application of training standards across the business and oversees the planning, prioritization, and development of new training programs and initiatives, ensuring that they are consistent with the businesses overall strategies, objectives, and needs.

Position Key Accountabilities:

  1. Provides strategic direction and management of the IT training team the creation, delivery and assessment of clinical and business systems and technology education for all UTHealth and partner affiliate users across both clinical and operational communities.

  2. Ensures training certifications are commensurate with UTHealth’s requirements and Epic’s Honor Roll requirements. Maintains agreed upon assessment rates, credentialed training program, and quarterly meetings with key clinical workgroups. Supports training needs of the IT department, capital projects, and the organization as appropriate.

  3. Leads, develops and implements scalable enterprise level training solutions aligned with departmental and /or organizational goals utilizing healthcare industry standards and best practices.

  4. Participates in UTHealth IT strategic and enterprise planning activities as it relates to organizational technology training and development efforts. Ensures training initiatives are in alignment with organizational goals & objectives.

  5. Facilitates an environment in which all employees are encouraged and supported so that they perform at their highest level. Oversees departmental performance management processes so that employees receive ongoing feedback and developmental coaching.

  6. Regularly assesses the organizational structure of the team and determines if clinical and business needs of the supported areas of responsibility are being met. Develops alternatives as needed and with the approval of the executive leadership team, implements them.

  7. Ensures employee and stakeholder satisfaction are being measured, performance maintained and results communicated appropriately.

  8. Develops, implements, monitors, and maintains both initial and ongoing training programs across the enterprise.

  9. Leads and enforces effective change management processes to ensure successful use and adoption of new training tools and processes.

  10. Identifies and implements analytic processes to quantitatively measure the effectiveness of training efforts, tools, and instructors and based on the data modifies training strategies to improve outcomes.

  11. Develops and regularly communicates performance metrics (dashboards, key indicators, etc.) to relevant clinical and business leaders regarding training activities and ties training initiatives to organizational outcomes.

  12. Develops and implements an IT training governance strategies to manage technology learning as a strategic business process, builds a shared future vision for workforce development, co-creates programs linked to the organization’s strategic objectives and prepares employees for the competent use of technology.

  13. Develops and implements a training communication strategy. Partners with IT business operations and L&D to align communication efforts.

  14. Provides direction and oversight for the IT training team’s operating budget and project budgets. Works with finance to establish reporting timeframes, variance analysis and frequent communication cycles.

  15. Oversees the maintenance of the documentation of the IT training team. Assures that documentation reflects the current practice, is updated as needed, and that appropriate access is granted to key stakeholders.

  16. Manages Human Resources activities for direct reports in regards to: recruiting and selection; hiring and termination, training, development, mentoring, counseling, performance evaluations, and salary planning.

  17. Responsible for the design, execution and effectiveness of a system of internal controls which provides reasonable assurance that operations are effective and efficient, assets are safeguarded; financial information is reliable and compliant with applicable laws, regulations, policies and procedures.

  18. Performs other duties as assigned.


• Superior communication skills, both oral and written, including specific skills such as presentation skills, and the ability to communicate complex subjects to non-technical groups.

• Superior customer relation skills including leading/participating in group sessions and reaching consensus. Presentation and facilitation experience a must, with large and small groups.

• Experience as Epic principal trainer performing instructional design, training delivery, application implementation(s), etc. as a healthcare provider employee or consultant to healthcare providers

• Current active certification in at least one Epic functional area module is preferred.

• Expert in adult learning theory.

• Proficient in at least one eLearning development tool (e.g., Camtasia, Captivate, Storyline).

• Knowledge of e-learning storyboarding/scripting and e-learning technology.

Minimum Education:

Bachelor’s degree in instructional design, computer science, information systems, healthcare, business, a related discipline, or related experience in lieu of degree. Master’s Degree in instructional technology, instructional design, adult education, organizational management, or a related discipline is preferred.

Minimum Experience:

Seven (7) years of leadership experience designing, developing, and delivering software-related and technology training (preferably in an academic setting), and management experience leading a team of instructional designers. Five (5) years of experience working with an LMS system, graphic design, video production, and/or web-based training tools (TechSmith Camtasia, Adobe Captivate, or similar software).

Physical Requirements:

Exerts up to 50 pounds of force occasionally and/or up to 20 pounds frequently and/or a negligible amount constantly to move objects.
