Position Summary:

We are looking for an Epic Application Specialist who will focus on Epic Security overall. This role can be classified on four levels. You will be responsible for the ongoing design, build, testing, validation and support of any and all Epic Security related needs across the health care system. Works with operational stakeholders and IT technical staff to troubleshoot Epic security issues and problems, capture requirements for new initiatives, and aid in the planning and execution of project plans. Works with end users to help communicate improvements needed for business processes and contribute directly to the success of the UTHealth mission from a technological, clinical, administrative, and financial perspective.

Our implementation of Epic will be in collaboration with Epic directly. You will have support from the people who created the EHR software, and a chance to work on the design of Epic for over 150 ambulatory clinics as well as a 274 bed Psychiatric Hospital. This is a full time role that will be classified as exempt. You will work in the heart of the Texas Medical Center. This facility is on both Metro bus and rail lines. It will require the employee to be on-site.

For candidates external to UTHealth, active Epic certification in at least one Epic module is strongly preferred if not required. If internal to UTHealth, as a requirement for this position you must receive Epic certification/certification-level proficiency for the module(s) you’ve been hired to work with. To satisfy this job requirement, you must receive a passing score (as defined by Epic), within two attempts, on all required exams and projects (as defined by Epic). This certification/certification-level proficiency must be achieved within 6 weeks of your last day of class at Epic or within a pre-determined 6 week timeframe.

Position Key Accountabilities:

  1. Obtains and maintains expertise in the support and optimization of assigned Epic module(s).

  2. Works cohesively with stakeholders to provide system support including analysis, build, and testing of requested changes, and analysis of new functionality of applications.

  3. Reviews, builds, tests and implements new functionality via System Upgrades and Special Updates.

  4. Works and manages multiple tasks with guidance/assistance.

  5. Demonstrates timely, effective, and efficient troubleshooting of software and workflow issues and defines mitigation plan for resolution with minimal guidance.

  6. Assists in the development and documentation of internal procedures to use in conjunction with Epic applications.

  7. Meets build deadlines as communicated by Application Director.

  8. Develops and maintains system documentation to enable ongoing support and maintenance of the Epic system.

  9. Performs unit testing of application configurations and build in appropriate non-production environments, to identify defects and create resolution plans accordingly.

  10. Participates in the creation of relevant and meaningful test scripts for application, integrated, and end user acceptance testing.

  11. Performs testing in a structured manner, follows any defined test scripts, and documents results.

  12. Follows established guidelines for system change control.

  13. Creates and maintains documentation for change management.

  14. Collaborates with peers to ensure process design, interface development, testing, and end user training are performed to quality standards.

  15. Performs basic project management activities for the development and implementation of system changes and small projects with minimal guidance

  16. Develops applications specific reports; provides technical specification and assistance to report developers as needed.

  17. Performs other duties as assigned.

Certification/Skills:

Superior communication skills, both oral and written, including specific skills of presentation and the effective communication of complex subjects to non-technical groups.

• Superior customer relation skills including leading and participating in group sessions and reaching consensus.

• Familiarity with project lifecycle and project management methodologies for software management.

• Ability to plan and manage projects of various size; their tasks, dependencies, team members, other resources, and timeline.

• The analytical skills to collect information from diverse sources, apply professional principles in performing various analyses, and summarize the information and data in order to solve problems or design relatively systems and programs that cross department/divisional lines.

• Must receive Epic certification/certification-level proficiency for applicable module(s). Must receive a passing score (as defined by Epic), within two attempts, on all required exams and projects (as defined by Epic) within 6 weeks after completion of training or within a pre-determined 6 week timeframe.

Minimum Education:

Bachelor’s degree in computer science, business or a related discipline; equivalent years of related experience in health care or information technology will be considered in lieu of education requirement.

Minimum Experience:

Two (2) years of experience in a health care related field required. Large scale health care systems planning and implementation experience on application software products preferred.

Physical Requirements:

Exerts up to 50 pounds of force occasionally and/or up to 20 pounds frequently and/or a negligible amount constantly to move objects.
