Position Summary:

Provides managerial and administrative direction to the Copy Services Department.

Position Key Accountabilities:

  1. Plans, coordinates, and manages the business management and administrative activities of the Copy Services Department ensuring the department operates in an efficient, timely, and cost effective manner.

  2. Promotes and markets all products and services provided by the department.

  3. Provides students, faculty, and staff with high quality products and services that are supportive and essential in keeping with the University’s vision and mission.

  4. Operates and maintains the two types of Copy Services billing systems: 1) Non-Infortext Billing System – manually reads the copier auditron for the billing information and then inputs the data into the computer billing system, and 2) Infortext Billing System – billing data is retrieved via electronic data channels from all remote sites connected to this system and then downloads the data into the University Financial Management System.

  5. Interacts with UTHealth staff resolving problems and answering questions relating to their areas of responsibility; may have contact with senior personnel in all operating units providing them with equipment information, pricing details, and recommendations that enable them to make educated decisions.

  6. Maintains positive margins which are shared with the University to assist in the Institution’s advancement.

  7. Prepares, implements and monitors departmental operating plans, budgets, and financials, including monthly reports and various informational and statistical reports such as the Summary of Copy Charges Report, Balance Sheet, Income Report, 5 year Revenue and Expense Comparison Report, and preparing the annual report.

  8. Works directly with all vendors concerning equipment needs, maintenance, and related office supplies; conducts monthly service meetings with equipment vendor to ensure that service issues are handled in a timely manner and that the parameters within the lease contract are adhered to.

  9. Monitors the inventory of equipment consumables to maintain an adequate supply on hand to meet the demand required.

  10. Approves all purchase requisitions, internal service requisitions, and personnel related paperwork.

  11. Reconciles all credit card transactions ensuring proper backup is attached to receipts.

  12. Processes cash deposits collected from Card Value Paystations, located at the Medical School, School of Nursing, School of Dentistry, and School of Public Health. Reconciles meter reads collected from individual paystations to ensure the amount of money collected matches the internal machine readings.

  13. Attends conferences relating to the area of copy services and attends trade shows as necessary.

  14. Manages the Human Resources activities for direct reports in regards to: recruiting and selection, hiring and termination, training, professional development, mentoring, counseling, performance evaluations, and salary planning.

  15. Ensures compliance with the policies and procedures of the university and department/division.

  16. Performs other duties as assigned.

Certification/Skills:

Excellent communication skills, both written and verbal.

Minimum Education:

Bachelor’s degree or relevant experience in lieu of education.

Minimum Experience:

Three (3) years of administrative experience preferably in a supervisory capacity.

Physical Requirements:

Exerts up to 50 pounds of force occasionally and/or up to 20 pounds frequently and/or up to 10 pounds constantly to move objects.
