We are hiring immediately for a Senior Administrative Assistant to join the UTHealth Graduate School of Biomedical Sciences in Houston, TX 77030. This position serves as the receptionist to the Dean’s office and interacts directly with graduate students, faculty and staff!

Position Summary:

Provides general and varied administrative support to a department or group of professionals under general supervision. Performs work that is varied and generally administrative and/or project oriented with general analysis. Work generally requires use of initiative and independent judgment. This position may provide secretarial support. Departments may provide additional guidance with a departmental position description.

Position Key Accountabilities:

  • Serves as front desk receptionist for MD Anderson UTHealth Houston Graduate School of Biomedical Sciences (GSBS) Dean's Office, including answering phones, directing calls and inquiries to appropriate GSBS areas, greeting visitors, assisting with mail and deliveries, etc.

  • Manages GSBS classroom reservations and schedules, assists staff with reserving room through MD Anderson Cancer Center Event Operations.

  • Composes correspondence and memoranda; prepares graphs, tables and manuscripts; prepares reports and presentation materials. May assist with grant and contract materials.

  • Orders, inventories, and restocks office supplies, including for the student coffee bar

  • Reports and tracks completion of housekeeping and facilities issues, orders office signage

  • Coordinates and plans meetings, and assists with major school events

  • Primary contact for TMC contract parking for staff, responsible for printing and restocking TMC parking validations, validating visitor parking and maintaining log of validations

  • Processes building access requests for faculty and staff, serves as backup for student badge access.

  • Other duties as assigned.

Certification/Skills:

  • Advanced working knowledge of standard Office Software such as Word, Excel, PowerPoint and Outlook is required.

  • Use of University financial systems may be required.

Minimum Education:

  • High school diploma or equivalent required. Associates degree preferred.

Minimum Experience:

  • Five (5) years related work experience required. May substitute required experience with equivalent years of education beyond the minimum education requirement.

  • Prior experience with scheduling, maintaining calendars, and travel itineraries required.

  • Prior experience preparing meeting materials or general reports preferred.

Physical Requirements:

Exerts up to 20 pounds of force occasionally and/or up to 10 pounds frequently and/or a negligible amount constantly to move objects.
