We are looking for a senior event coordinator who will plan and execute university events with a focus on these types of functions for the Office of Development and/or the Office of the President. The Senior Coordinator effectively manages events that enhance the visibility of the university and promotes a positive institutional image among a variety of constituents, including donors, students, faculty and staff, patients, alumni and the general public. These types of occasions can include commencements, administrative retreats, galas, events within donor homes, workshops, and town hall meetings for staff and students. You will handle all of the logistics which may include space reservations, catering details, logistics of registering, and anything that goes with executing a successful event for UTHealth or UT Physicians. These can be quite large scale, so you should be familiar with organizing functions for possibly thousands of attendees. We prefer candidates who come with a non-profit or development background.
This is a full time role that is classified as non-exempt. You will be eligible for all UTHealth benefits including healthcare coverage and participation in a pension plan run by the State of Texas. Your office will be located in the heart of the Texas Medical Center in our University Center Tower on the corner of Fannin and Pressler. This building is accessible by both Metro bus and rail lines, and it has many parking options as well.
Position Key Accountabilities:
Plans, coordinates and leads the logistics for events related to the Office of Development and/or the Office of the President.
Coordinates and collaborates with internal primary event contacts including Major Gift Officers and support teams to facilitate the logistics for events including preparing planning timeline, reviewing copywriting and marketing materials, determining appropriate audiences for the invitation list, drafting event briefings for university leadership, etc.
Manages event budgets, monitors budget allocations throughout the event planning process and reports on final budget results.
Effectively manages positive relationships with internal and external partners including key volunteer community members, institutional leadership and faculty, vendors and colleagues across the institution.
Proactively research and explore options for services and venues to ensure the university is utilizing the best possible options for events.
Prepares and processes contracts and event orders and ensures quality product and service delivery and customer satisfaction.
Continually expands knowledge and expertise in event management and planning software licensed for the department.
Ensures that plans and protocols are followed to meet compliance with all federal, state laws and UTHealth policies, rules and regulations.
Responsible for a portion of team administrative duties and cross-event reporting to inform on and improve department’s event strategies.
Performs other duties as assigned.
Excellent customer service skills. Self-motivated work style. Excellent interpersonal and written communication skills. Experience with Cvent software preferred.
Bachelor’s degree or experience at a comparable level may be considered in lieu of the education requirement.
Two (2) years related experience in event management and planning or related work experience at a level comparable to the needs of the position.
Exerts up to 20 pounds of force occasionally and/or up to 10 pounds frequently and/or a negligible amount constantly to move objects.
