Position Summary:

This is a second step entry level job that performs most routine tasks under more generally defined supervision. Performs a variety of moderately complex clerical tasks to support assigned area. This position may provide secretarial support. Departments may provide additional guidance with a departmental position description.

Position Key Accountabilities:

  • Assists faculty in planning and coordinating weekly department research seminars for local and out of town guest speakers and internal workshop presentations. This involves communicating with incoming guest speakers to gather information to setup Vendor ID, booking hotel, maintaining speaker and expense logs, corresponding with faculty, lab researchers, guest speakers, and following seminar and workshop guidelines. Furthermore, this position would create and post flyers, schedule/order meals, setup and cleanup meal events, and process official function forms.

  • Assists in processing Visitor and Visa applications, i.e., J-1 Visas, as needed. Serves as administrative liaison with others within the department and the organization, explanation and regular monitoring and follow-up.

  • Assists with planning and coordinating annual department functions, such as annual research retreat, annual holiday party, and research symposiums, as applicable.

  • Assists in poster printing for research presentations and conferences.

  • Assists in annual equipment inventory and annual space survey.

  • Compiles data from reports using required knowledge of departmental, project, and/or university policies and procedures.

  • Assists with new and separated employees and visitors in the areas of: badge access/inactivation; key distribution and collection; managing departmental pictorial directory and department contact lists.

  • Schedules meetings and rooms, invites participants and arranges refreshments and equipment as needed. May prepare and distribute meeting minutes.

  • Maintains office supplies and equipment.

  • Screens calls and emails and receives and directs visitors.

  • Assists with parking contracts, long distance codes and copier codes for new employees.

  • May handle confidential information and sensitive issues.

  • Other duties as assigned.


  • Working knowledge of standard Office Software such as Word, Excel, PowerPoint and Outlook is required.

  • FMS training with a passing score may be required.

  • Use of University financial systems may be required.

Minimum Education:

  • High School diploma or equivalent.

Minimum Experience:

  • Three (3) years of general office experience. May substitute required experience with equivalent years of education beyond the minimum education requirement.

  • Prior experience scheduling and maintaining calendars & travel itineraries.

  • Prior experience with preparing meeting materials or general reports preferred.

Physical Requirements:

Exerts up to 20 pounds of force occasionally and/or up to 10 pounds frequently and/or a negligible amount constantly to move objects.

Residency Requirement:
